When complete, your report will show expense accounts grouped by category (e.g., Salaries, Travel, Marketing), with columns for each department. You will see actual vs. budget amounts with variance calculations, enabling monthly trend analysis across departments—all without leaving Business Central or exporting to Excel for further manipulation.

This streamlined approach saves time, ensures consistency in reporting across users, and provides leadership with clear visibility into departmental financial performance. The same Analysis View can be reused month after month, simply by updating the date filters.

 

Step-by-Step: How to Set Up an Analysis View in Business Central

Here is a simple step-by-step guide to create an Analysis View for our department expense report:

  • Step 1: Navigate to Analysis Views: Use the search bar (Alt+Q) to search for "Analysis Views".
  • Step 2: Create a New View: Select +New and give your view a name in the “Code” field (e.g., DEPT_EXPENSES) and description.
  • Step 3: Select Account Source: Select “G/L Account” as the Account Source.
  • Step 4: Select Dimensions: In the Dimension 1 Code field, choose the dimension that represents DEPARTMENT. You can optionally select Dimension 2 Code (e.g., PROJECT or CUSTOMERGROUP) if you want to set up a second layer of analysis.
  • Step 5: Set Filters (Optional): You can limit this view to a specific G/L account range, date range, or other filters. For example, you might filter on G/L expense accounts only by inputting the appropriate account range for expenses.
  • Step 6: Include Budgets: Set Include Budgets to Yes to compare actuals vs. budget.
  • Step 7: Update the View: Once saved, click Update to populate the view with historical data. For large datasets, consider scheduling this during off-hours.
  • Step 8: Use in Financial Reports: Now, go to your Financial Reports list page. Choose your new Analysis View in the Analysis View Name field. Now, when you run the report, you will see values broken out by department. It is ready for export or review.
